How to Use BCC Capture to Log Emails on a Lead or Deal
This guide shows you how to log an email on a lead or deal timeline using BCC capture. After following these steps, the email will appear automatically on the record — no manual logging required.
Prerequisites
- You have access to the lead or deal you want to log against.
- You know the capture address to use (your personal address or the record-specific address — see Connected Communications for an explanation of address formats).
Find your personal capture address
- Open the user menu (top-right corner of the UI) and select Profile or Settings.
- Look for My Capture Address — it appears in the format
adjective.noun@<tenant>.mail.rayt.io. - Copy the address for use in your email client.
Find a record-specific capture address
- Open the lead or deal record in the CRM.
- Look for the Capture Address field in the record header or sidebar. It appears in the format
deal+<uuid>@<tenant>.mail.rayt.ioorlead+<uuid>@<tenant>.mail.rayt.io. - Copy the address.
Log an outgoing email via BCC
When sending an email from your regular email client:
- Compose your email as normal.
- In the BCC field, add the capture address.
- Send the email.
Raytio receives the BCC copy and logs it against the correct record within seconds.
Log an existing email by forwarding
When you receive an email that you want to log, or when a colleague forwards you an email to file:
- Open the email in your email client.
- Forward it to the capture address.
- The email — including the original sender, recipients, subject, and body — is logged on the record.
Use the record-specific address (deal+<uuid>@…) when you already know which record to log to. Use your personal address when you want Raytio to identify the lead or deal from the contact's email address automatically.
What to expect
- The email appears on the lead or deal timeline within a few seconds.
- Attachments are stored as documents on the conversation record.
- To read the full email or thread, click the timeline entry to open the linked conversation.
- If the contact replies to any email sent from Raytio, their reply is captured automatically in the same thread.
If no timeline entry appears after a minute, the sender address may not match any known contact record. In that case, the email is placed in the sales queue for triage by an administrator.
